Role Overview
As a Receiving Agent, you will oversee the hotel’s receiving activities, ensuring all goods are delivered on time, meet quality expectations, and comply with established hotel policies, procedures, and hygiene standards.

Key Responsibilities

  • Verify that all incoming goods align with approved LPOs, hotel policies, and hygiene requirements through physical checks for quantity, weight, and visible specifications.

  • Coordinate the prompt distribution of inspected items to the relevant departments and obtain required acknowledgements from Department Heads or their representatives.

  • Examine supplier invoices to ensure they are original, properly numbered, itemised with clear descriptions, and free from errors before endorsing them with the hotel seal and signature.

  • Process supplier invoices accurately in FBM, following set standards and timelines.

  • Review and manage Deviation Reports and Outstanding Order Reports in line with hotel procedures.

  • Conduct weekly checks of Outgoing Records (OR) to ensure serial control and completeness.

  • Identify outstanding ORs and escalate them to Department Heads through the Outstanding Outgoing Record Report.

  • Maintain organised manual and digital filing systems, ensuring proper naming, cataloguing, and restricted access for authorised personnel only.

  • Follow safe and environmentally responsible work practices to safeguard the wellbeing of guests and employees.

  • Adhere strictly to the hotel’s environmental, health, and safety policies and procedures.
