The Role and Responsibilities

As an Office Administrator, you will be the backbone of our operational and administrative support system. Your role will extend beyond routine office tasks to include responsibilities that directly impact the efficiency of plant operations and staff productivity. Key deliverables include:

Administrative and Operational Coordination

  • Oversee general office administration by coordinating with multiple business units to maintain seamless day-to-day operations. This includes managing confidential documents, maintaining records, and ensuring compliance with internal policies.
  • Serve as the primary point of contact for internal and external visitors, ensuring a professional and welcoming environment. You will also coordinate logistics for events hosted at SC facilities, including vendor communication and on-site preparations.

Project and Contract Management

  • Own and manage capital expenditure projects related to office and facility improvements. This involves planning, budgeting, liaising with contractors, and monitoring project progress to ensure timely completion.
  • Act as the contract owner for essential services such as janitorial operations, lease vehicles, and transport scheduling. This includes negotiating terms, monitoring service delivery, and maintaining cost-effectiveness.

Meeting and Reporting Functions

  • Schedule meetings across departments, handling logistics such as facilities booking, attendee coordination, and preparation of supporting materials.
  • Prepare the Monthly Production Report and ensure accurate data entry into SAP systems, enabling leadership to make informed decisions.
  • Collect and process production incentive data for the non-executive workforce, ensuring accuracy and timely reporting.

Financial and Expenditure Oversight

  • Manage expenditure processing for the Operations Manager, covering items such as fuel purchases, sundry expenses, and budget tracking. You will play a key role in ensuring cost discipline while supporting operational efficiency.

Stakeholder Communication

  • Liaise with the industrial park administration and external stakeholders, maintaining smooth communication channels and addressing facility-related matters promptly.
  • Act as a bridge between management, employees, and external vendors, ensuring operational transparency and fostering trust.

Qualifications

Chevron is looking for candidates who not only meet the technical requirements but also bring contextual understanding of how their skills contribute to organizational success.

  • Educational Background: A Bachelor’s degree in Business Management, Supply Chain Management, Sciences, Arts, or Secretarial Studies. Equivalent professional qualifications in these disciplines will also be considered.
  • Experience: 3–5 years of proven experience in administrative or operational roles, preferably in an office or manufacturing setting. Exposure to SAP systems will be an added advantage.
  • Technical Skills: Proficiency in Microsoft Office applications is essential. Familiarity with SAP is highly desirable to streamline reporting and operational functions.
  • Location: Ability to conveniently commute to the Sapugaskanda worksite is required.
  • Confidentiality: Demonstrated ability to handle sensitive and confidential information with discretion.
  • Communication: Strong interpersonal and communication skills, with the ability to coordinate across diverse teams, from factory floor employees to external vendors.
  • Organization: Excellent multitasking and time-management abilities, ensuring deadlines and priorities are consistently met.
