Overview:
The Assistant Manager – Enrollment plays a pivotal role in ensuring that the enrollment process is streamlined, data-driven, and responsive to both organizational goals and prospective student needs. Based in Colombo, this role is essential in overseeing the day-to-day execution of enrollment strategies, working collaboratively across departments to meet and exceed admission targets. This position demands a strong balance of analytical skills, communication capabilities, and hands-on operational execution.
Key Responsibilities:
- Enrollment Operations Management
- Lead and monitor the end-to-end enrollment process from initial inquiry through final registration.
- Coordinate with admissions officers, marketing teams, and administrative staff to ensure a seamless application experience.
- Implement workflows that enhance the responsiveness and efficiency of the enrollment pipeline.
- Use CRM systems to track applicant progression, identify bottlenecks, and ensure timely follow-ups.
- Oversee applicant communications and ensure consistent, clear, and personalized messaging.
- Strategy Implementation & Support
- Collaborate with senior management to execute targeted enrollment strategies aligned with institutional goals.
- Analyze trends in application and enrollment data to suggest enhancements to outreach, engagement, and conversion tactics.
- Support the execution of special enrollment initiatives, including scholarship drives, corporate outreach, and international student recruitment.
- Assist in forecasting and planning efforts by providing accurate, timely reports on lead conversions, funnel performance, and projected intake numbers.
- Data Management and Reporting
- Maintain integrity and accuracy of enrollment databases and student records.
- Prepare detailed weekly, monthly, and quarterly reports that outline progress against enrollment targets.
- Leverage data analytics to assess campaign effectiveness and applicant behaviors, using these insights to guide tactical adjustments.
- Work closely with IT and systems teams to ensure that enrollment technologies are up-to-date and effectively utilized.
- Stakeholder Coordination
- Serve as a primary point of contact for prospective students and their families, offering guidance throughout the admissions process.
- Facilitate collaboration between internal teams including Marketing, Academic Affairs, and Finance to support applicants’ transition from prospect to enrolled student.
- Engage with school counselors, recruitment agents, and corporate partners to broaden the institution’s outreach and improve enrollment yield.
- Represent the institution in events, school visits, and fairs as needed, delivering presentations and supporting brand positioning.
- Quality Assurance and Compliance
- Ensure all enrollment activities align with institutional policies and regulatory standards.
- Maintain confidentiality and ethical handling of applicant information.
- Conduct periodic audits of enrollment files to identify and resolve discrepancies.
- Train team members and support staff on updates to policies, procedures, and compliance requirements.
- Team Supervision and Development
- Support the Manager – Enrollment in leading, mentoring, and evaluating enrollment officers and assistants.
- Coordinate onboarding and continuous training for new team members.
- Promote a culture of accountability, customer service, and performance excellence within the team.
- Contribute to performance appraisals by providing feedback and helping to set realistic KPIs for junior staff.
Required Qualifications:
- Bachelor’s degree in Business Administration, Education, Marketing, or a related field.
- A minimum of 3–5 years of experience in admissions, enrollment management, or a related function, preferably in the education or service sector.
- Proven experience working with CRM and enrollment management software (e.g., Salesforce, Slate, HubSpot, etc.).
- Excellent command of written and spoken English; proficiency in Sinhala and/or Tamil is a plus.
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- High level of professionalism, integrity, and interpersonal effectiveness.
Preferred Attributes:
- Previous experience in student recruitment or client-facing roles.
- Familiarity with Sri Lankan higher education systems or international education pathways.
